Manuscripts for Conference Proceedings

The conference proceedings will be published and widely disseminated as a volume of AIP Conference Proceedings.  All oral presenters should be prepared to submit a manuscript for the conference proceedings no later than 30 days after the close of the conference.  Manuscripts are expected to of the level of content and quality of the premier physics and astronomy research journals.  Poster presenters are welcome to submit a full manuscript to be included in the proceedings as well.

AIP has prepared a user guides and templates for Microsoft Word and LaTeX.  Please read the guides and other reference documents before preparing your proceedings manuscript.

Your manuscript submission must include a signed copy of the Transfer of Copyright Agreement. If you are using copyrighted material in your manuscript, you must also submit  completed permission forms for each copyright holder. If you would like to order offprints or reprints please submit an order form as well.  Please do not send these forms directly to AIP, rather submit them directly to NSBP.

Abstracts

All abstracts should be submitted as an MSWord document.  Please take special care to follow format in the abstract template.  In particular the abstract should contain no figures or tables, i.e., should be text only.  There is no limit on the number of authors.  The abstract itself should be no longer than 300 words. 

Oral Presentations

All participants, including undergraduate and graduate students, are invited to make a poster or oral presentation.  We do ask for student authors to have a faculty co-author.  NSBP or NSHP membership is NOT required to present a paper or poster at the conference.  Abstracts are reviewed and selected on the basis of scientific merit, originality of research and compliance with abstract guidelines and deadlines. 

The expectation is that all presentations will primarily cover specific and current research results or appropriate scientific propositions.  Expository talks on the facilities and capabilities of programs, laboratories, centers, departments, divisions, institutes, are generally not appropriate for the oral scientific sessions or for a poster presentation.  In such instances an exhibitor's booth would be more appropriate. 

Contributed oral presentations are 15 minutes long including time for Q&A.  Invited talks are generally 30 minutes long including time for Q&A.  Invited talks are arranged by the program committee.  The conference program committee chair will provide special abstract submission instructions to invitees. 

Contributed talks are sorted and organized into sessions by topic.  The audience for oral presentations will include students, faculty and researchers at all levels.  Talks should be organized and presented as they would be for any other scientific meeting.  Invited talks should be presented at the level of a departmental colloquium, albeit shorter here (30 minutes) than usual in that case.  

The session rooms are equipped with a computer, LCD projector, screen and audio microphones.  If you need additional AV equipment, e.g., overhead projector or computer speakers, please contact the conference management at conference.manager@nsbp.org. 

If your abstract is accepted for an oral presentation, you should arrive at the session location 10 minutes before the session begins to check in with the session chair and to load your talk onto our computer.  This will reduce the transition time between talks and eliminate the need to switch computer connections to the LCD projector.

Poster Presentations

NSBP or NSHP membership is NOT required to present a paper or poster at the conference.  Poster presentations are expected to cover original scientific research.  Posters that primarily advertise facilities and capabilities of programs, laboratories, centers, departments, divisions, or institutes, are generally not appropriate.  In such instances an exhibitor's booth would be more appropriate. 

The poster boards are generally 4'x8'.  Your poster should be comfortably readable from a distance of at least 3'. 

Graduate and undergraduate poster presenters are eligible for recognition and monetary awards.  Others, i.e., faculty, postdocs and other researchers, are welcome to present posters.  But only students are eligible to receive awards.
